ADvTECH’s IIE’s Varsity College, Durban North Campus, has a permanent vacancy for an Assessment Officer. This role involves managing and tracking assessment printing, invigilator recruitment and management, pre-assessment logistics, non-exam condition assessment processing, and exam condition assessment escalations. The IIE is a leading private higher education provider in South Africa.

Responsibilities

Managing and Tracking Assessment Printing, from APTS capturing to receiving crates from Colourtech.
Ensuring correct orders are placed and fulfilled as per APTS.
Ensuring actual student numbers are updated in APTS.
Ensuring student numbers, venue, and Invigilator details are inserted into APTS for prepacked assessments.
Checking crate contents from Colourtech for accurate packing and grouping as per APTS requests.
Informing national office of APTS inserts and batch checks completion and any discrepancies.
Ensuring crates and locks are returned to Colourtech timeously.
Assisting with Invigilator training.
Co-ordinating the booking of Invigilators.
Assisting with Invigilating when required.
Reconciling Invigilator reports pre and post assessment.
Logging assessments in and out with Invigilators.
Managing all aspects of preparation for upcoming assessments.
Informing students when Programme Assessment Schedule is uploaded and available.
Ensuring assessments and memos are stored securely in the campus academic safe.
Responsible for the preparation of all assessment documentation.
Ensuring pre-assessment logistics accommodate concession applications.
Liaising with the IT department regarding IT assessment setup and preloads.
Managing all assessments being written on campus.
Reconciling scripts at the end of each assessment and handing over to the Results Centre.
Ensuring all assessment documentation is up to date and compliant with assessment and audit processes.
Reconciliation of the Invigilator’s report that summarises all necessary information and is batched with scripts.
Investigating any discrepancies noted on the Invigilator report.
Management of all aspects of different location approvals.
Management of Online Centre student assessments and scripts.
Responsible for the set-up of student groups and deadlines on SafeAssign and Turnitin.
Responsible for the collection of assignments from the submission point.
Reconciliation of assignment submission, signing sheet, and identifying unsubmitted assignments.
Collecting, collating, grouping, and handing over assignments to the Results Centre.
Managing late assignments in accordance with the Assessment Strategy and Policy.
Facilitating the resolution of exam paper escalations during an exam.
Raising queries with Programme Operations Manager (POM) when assessments are running.
Receiving and communicating Central Academic Team (CAT) decisions to students in various venues.
Managing the escorting of students to the bathroom during assessments.
Dealing with any issues/queries Invigilators may raise during assessments.
Ensuring all student notes are captured in the System for Academic Management.
Completing an incident report for non-compliance in the Assessment Centre for approval.
Logging access in and out of the secure Assessment Centre.
Assisting with campus-specific projects/events (Graduation, Open Day etc.).
Conducting focus group sessions to reflect on the systems of the centre.

Requirements

Excellent communication and interpersonal skills.
Understanding of and passion for customer service.
Assertiveness and dynamism.
Proficient on MS Excel and MS Word.
High level of accuracy required in both typing and data capturing.
Excellent organizational and administration skills.
Best suited to a systematic person with an eye for detail.
